This Privacy Notice explains how Asterline Trade collects, uses and protects personal information.

Asterline Trade is a trading name of SmartPaw Labs Ltd. SmartPaw Labs Ltd is the controller responsible for the personal information described in this notice.

SmartPaw Labs Ltd is registered in England and Wales under company number 16740114. Its registered office is 3rd Floor, 86-90 Paul Street, London, England, EC2A 4NE.

Information we collect

When you submit an enquiry through our website, we collect your name, company, email address and information about your requirement. You may also choose to tell us which type of sourcing situation best describes your enquiry.

We may collect additional information through subsequent emails, calls and other business correspondence. This may include project requirements, supplier discussions, quotations and commercial records.

We may obtain relevant business contact information from company websites and other public business sources. This may include a person’s name, professional role, company and business contact details.

Our website and hosting provider may process basic technical information needed to deliver and protect the website, such as IP addresses, browser information, request times and security logs.

Required form fields are marked on the enquiry form. You are not required to contact us, but we may be unable to review or respond to an enquiry without the required information.

How we use your information

We use personal information to:

  • Review and respond to enquiries
  • Understand packaging and supplier requirements
  • Arrange discussions and recommend appropriate next steps
  • Manage client, supplier and other business relationships
  • Maintain project, commercial and correspondence records
  • Operate and protect the website

We normally rely on our legitimate interests in operating Asterline, responding to relevant business enquiries, managing business relationships and protecting the website.

Where you ask us to take steps towards providing services, we may process information because it is necessary before entering into a contract. Where services are agreed, we may process information to perform that contract.

We also process information where necessary to comply with legal obligations, including accounting and tax requirements.

Asterline may use relevant business contact information obtained from company websites and other public business sources to contact companies about our services. You can object to further contact at any time.

Submitting an enquiry does not automatically add you to a newsletter or general marketing list.

We do not use personal information to make solely automated decisions that produce legal or similarly significant effects.

Who we share information with

We use a limited number of service providers to operate the website and manage business information. These include:

  • Netlify for website hosting and enquiry-form processing
  • Google Workspace, including Gmail and Google Drive, for email, documents and business records

Relevant information may also be recorded in Asterline’s internal customer relationship and project records.

We may also share information with professional advisers, regulators, public authorities or other parties where reasonably necessary to comply with the law, protect legal rights or resolve a dispute.

Access within Asterline is restricted to those who need the information for the purposes described in this notice.

We do not sell personal information.

International processing

Some of our service providers operate internationally and may process information outside the United Kingdom.

Where personal information is transferred outside the UK, we rely on applicable transfer arrangements and safeguards required by UK data-protection law. These may include UK adequacy regulations or recognised contractual safeguards.

How long we keep information

Enquiries and business contact records that do not progress are normally retained for up to two years after the last meaningful communication.

Routine project correspondence is normally retained for up to two years after the project or commercial discussion ends, unless it forms part of a contractual, accounting, tax or legal record.

Contracts, invoices, approvals and other records needed for accounting, tax, contractual or legal purposes may be retained for up to six years, or longer where required by law.

When someone objects to further marketing contact, we may retain a minimal record of that preference for as long as necessary to ensure that no further marketing messages are sent.

Information may be retained for longer where reasonably necessary to resolve a dispute, establish or defend a legal claim, or comply with a legal obligation.

Cookies and similar technologies

The current website does not use analytics, advertising pixels or non-essential tracking technologies.

After a successful enquiry submission, the website uses a short-lived session-storage value to control access to the confirmation page. It does not contain the information submitted through the form and is removed when the confirmation page is shown or the browser session ends.

We will update this notice and introduce consent controls where required before adding non-essential analytics, advertising or tracking technologies.

Your rights

Depending on the circumstances and the legal basis being used, you may have the right to ask us to:

  • Provide a copy of your personal information
  • Correct inaccurate or incomplete information
  • Delete your information
  • Restrict how your information is used
  • Object to certain uses of your information
  • Provide information you gave us in a portable format, where applicable

You have the right to object to the use of your personal information for direct marketing at any time.
